1. Who MAP Is

Military Assessment Preparation Ltd ("MAP") provides coaching and resources for UK military officer selection boards. MAP is the data controller for the personal information described in this policy.

2. What MAP collects

When you get in touch through the contact form, email, or social media, MAP collects your name, email address, and anything you choose to include in your message.

When you book a consultation or coaching session, MAP collects your name, email address, and booking details. To tailor your coaching, you may also share information about your selection board, your branch or role, previous attempts, and board feedback.

When you buy the Planning Exercise Guide or pay for coaching, MAP collects your name, email address, and billing details. Card payments are processed securely by Wix Payments and Stripe. MAP never sees or stores your full card details.

When you visit the website, MAP collects information through cookies, such as the pages you view, how you arrived at the site, and your device type. Non-essential cookies are only used with your consent (see section 7).

3. How MAP uses your information

MAP uses your information to:

• respond to your enquiries

• deliver coaching sessions and written feedback

• deliver purchased products

• take payments and keep financial records

• send relevant emails about MAP's coaching and resources

• measure and improve the website and advertising

4. How MAP uses your information

MAP only uses your data where the law allows. Delivering coaching, products, and replies to your enquiries is necessary to perform a contract with you, or to take steps at your request before entering into one. Keeping financial records is a legal obligation. Emails about MAP's services, and website and advertising analysis, are based on MAP's legitimate interests in running and growing the business. Non-essential cookies are based on your consent.

You can unsubscribe from marketing emails at any time using the link in any email, or by replying to ask.

5. Who MAP shares it with

MAP never sells your data. It is shared only with the service providers that help run the business:

• Wix (website, online shop, and email)

• Stripe (payments)

• Google (email, calendar bookings, video sessions, analytics, and advertising)

• Meta (advertising measurement)

• Xero (bookkeeping)

• Usercentrics (cookie consent)

6. How long MAP keeps it

Financial records are kept for six years, as required by law. Coaching records and session notes are kept for two years after your last session, in case you return for a later board attempt. Enquiries that don't lead to coaching are kept for 12 months. Marketing contact details are kept until you unsubscribe.

7. Cookies

Essential cookies keep the site and shop working and don't need your consent. Analytics and advertising cookies, including those from Google and Meta, only load if you accept them in the cookie banner. You can change your choice at any time through the cookie settings link on the site.

8. Candidates under 18

Some MAP candidates are under 18. Where a candidate is under 18, MAP may also communicate with a parent or guardian about bookings and payments.

9. Your rights

You have the right to access the personal data MAP holds about you, to have it corrected or deleted, to restrict or object to its use, to receive a copy in a portable format, and to withdraw consent at any time. To make a request, email info@militaryassessmentpreparation.com. MAP will respond within one month.

If you're unhappy with how your data has been handled, please contact MAP first. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

MAP may update this policy from time to time. The latest version will always be on this page, with the date it was last updated.
